Senior Group Administrator

(Full Time - Remote)

Reporting to: Operations Director, Pinnacle Directors

KEY ROLE OBJECTIVES

Pinnacle are looking for a Senior Group Administrator to support the back end operations of our growing wellness brand in Hong Kong — a space where fitness, physiotherapy, and athletic profiling come together to deliver results for everyday movers and high-performance athletes alike.

As Senior Group Administrator, you will work closely with senior management, demonstrating strong knowledge on data analytics, revenue and expense management and accounting and business compliance related tasks as well as providing support to the executive team. ROLES AND RESPONSIBILITIES

  • Executive Support

    • Act as a strategic support to the Directors on key initiatives, providing insights, data, and ensuring alignment with organizational goal

    • Managing scheduling and calendars for the Directors that  include appointments, events, and travel as well as preparing presentation materials, recording and summarising important discussions

  • Supervise Membership Management 

    • Ensure members and clients’ accounts are in order 

    • Ensure Pinnacle App is operational and running smoothly

    • Collect member feedback on a periodic basis 

  • Project Management

    • Assist the Directors on the management and implementation of identified strategic projects

    • Monitor and report on the progress of strategic projects, ensuring milestones are met, and obstacles/opportunities identified

    • Support new process and technology roll outs, coordinating with all concerned departments and team members, and ensuring successful and timely implementation

  • System & Workflow Improvement

    • Identify and implement business process improvements to streamline workflow and enhance productivity

    • Support regular policy reviews and identifies potential improvements and implementation

    • Work with the different departments on continuous system and workflow reviews to identify opportunities for improvement

  • Business Development and Compliance

    • Generate operational reports (OKRs - utilisation, attendance, revenue) and provide data analysis and recommendations to support informed decision making

    • Create business insights and identify patterns in member lifecycle, utilisation, attendance and other metrics by organizing and analyzing basic data

    • Maintain accurate and up-to-date business records, insurances, and service agreements with a high level of confidentiality and accuracy

  •  Departmental Support

    • Accounting and Tax - monitor revenue and expenditures, to produce accurate management reports

    • HR - Manage and maintain accurate HR records and support compliance with HR policies

    • Marketing & Branding - Maintain and update content across all digital platforms and create summaries related to marketing and brand engagement

QUALIFICATIONS AND REQUIREMENTS

Essential:

  • Bachelors degree in Administration or similar 

  • 3-5 years experience in Administrative, Operations or Coordination role

  • Strong background in Data analysis work

  • Experience in financial record-keeping, including invoicing, expense tracking, and payroll processing. (Experience with XERO is an advantage)

  • Proficiency in Google Workspace (Sheets, Docs, Calendar);

  • Ability to work independently and take initiative in a fast-paced, evolving environment

  • Comfortable interacting with clients, staff, and external partners in a professional manner

  • Committed to continuous improvement with an enthusiasm for learning 

  • Excellent written and verbal English 

Desirable:

  • Basic understanding of business operations, reporting, and compliance requirements

  • Familiarity with CRM (Mindbody preferred) systems for membership and sales tracking;

  • Proficiency with digital tools including EDM platforms, website building and hosting, basic design (e.g. Mailchimp, Squarespace, Canva)

WORK ARRANGEMENT AND HOURS OF WORK

Salary: PHP50,000 (negotiable depending on qualifications and experience)

Hours of work: 42 hours per week

Primary Work Location:  Work from home
