Reporting to: Pinnacle Wellness Events Manager and Senior Programme Manager

This role sits within the Pinnacle Performance team embedded within the client’s office and provides critical operational, administrative, and programme support across the APAC Wellness programme. The Wellness Events Programming Specialist is an experienced and versatile all-rounder who partners closely with the Wellness Events Manager and Senior Programme Manager, ensuring seamless delivery of wellness events, programming initiatives, and day-to-day operations.

The successful candidate will be a proactive, self-sufficient professional with a minimum of five years of relevant experience who can manage a broad remit with composure and precision in a high-standards financial services environment.

Key Areas of Responsibility

ROLES AND RESPONSIBILITIES

Events & Programme Support:

  • Support the Wellness Events Manager in the end-to-end planning and execution of wellness events across APAC, including logistics, room bookings, catering, AV setup, and post-event administration

  • Assist with the APAC Wellness Programming strategy including researching speakers, managing speaker contracts, preparing moderator speaking notes, and coordinating registration via the Learning Management System (LMS)

  • Support delivery of the APAC Mental Health strategy including preparation of Mental Health Governance sessions, drafting communications, and managing the on-site Mental Health First Aider Programme

  • Coordinate employee-facing events such as Wellness Fairs, managing external vendors and liaising with internal stakeholders across the organisation

  • Participate in employee-facing presentations including new hire orientations, graduate and intern programme sessions

Administration & Operations

  • Manage day-to-day administrative functions supporting the wider wellness team including record keeping, data entry, document management, and scheduling

  • Manage and maintain the client's internal Wellness Exchange website ensuring content is current and accurate

  • Coordinate data collection for benchmarking exercises and assist with market analysis of benefits and wellness offerings against competitors

  • Track and manage employee queries, escalating complex cases as required and drafting clear, professional responses

  • Provide flexible administrative and operational support across team tasks, stepping in proactively where capacity is needed

Vendor Management

  • Serve as a key point of contact for wellness vendors across Asia Pacific, managing ongoing vendor relationships and ensuring performance standards are met

  • Liaise with multiple third-party helpline teams to manage escalated employee queries and issues

  • Support vendor onboarding, contract administration, and performance tracking in coordination with the Wellness Events Manager

Communications

  • Draft employee communications to support engagement across wellness programmes and events in APAC

  • Work with vendors to coordinate production of marketing materials and wellness newsletters

  • Support the team on internal communications ensuring timely, accurate, and professionally written content

Project Coordination

  • Support project management activities involving collaboration with colleagues across regions and teams

  • Track project milestones, deliverables, and timelines, flagging risks proactively to the Wellness Events Manager and Senior Programme Manager

Qualifications & Requirements

Essential

  • Minimum 5 years of experience in a programme coordination, operations, or administrative role within a professional services or corporate environment

  • Bachelor's Degree in a relevant discipline

  • Excellent English verbal and written communication skills

  • Proven experience in event organisation, logistics, and management

  • Strong administration skills with exceptional attention to detail

  • Experience managing vendors and third-party service providers

  • Comfortable working within a highly professional, fast-paced, and dynamic office environment

  • Strong interpersonal and collaboration skills with the ability to manage multiple stakeholders and projects simultaneously

  • Proficiency in systems management and process documentation

  • Proactive, flexible, and comfortable switching across tasks and priorities

Desirable

  • Experience working within a financial services institution or large multinational corporate environment

  • Background supporting HR, Benefits, or Wellness programmes

  • Familiarity with Learning Management Systems (LMS) and wellness or benefits platforms

  • Proficiency in Cantonese and/or Mandarin (verbal and written)

Work arrangement & hours of work

Work Location: Lee Garden 3 (Causeway Bay)

Working hours: Full Time, 42 hours per week
